Office Manager/Receptionist

The Role

MJE, LLC is seeking an organized and proactive individual to join our team as an Office Manager/Receptionist at our Montezuma, KS headquarters. This role is critical in maintaining daily office operations, supporting various administrative tasks, and providing a welcoming experience for visitors and callers.

The Office Manager/Receptionist will manage equipment logistics, assist with communication and scheduling, and oversee office organization. This role requires strong multitasking skills, attention to detail, and a willingness to help with various tasks as needed to ensure the smooth operation of the office.

Responsibilities

  • Front Desk & Visitor Management: Greet visitors, answer phone calls, and manage the main office email to ensure professional communication and a welcoming environment.
  • Manage Equipment & Communication: Coordinate equipment logistics between job sites, update One Call Tickets, and distribute daily haul lists to MJE staff.
  • Device & DOT Permitting Support: Set up and manage company cellular devices (iPads, phones, hotspots, SiriusXM activations) and handle truck permits and key lists.
  • Timecard & Inventory Management: Process timecards for drivers and field staff, assist with purchase orders, and maintain inventory records for MJE and MJE Livestock Equipment.
  • Site Coordination: Arrange dumpsters and toilets for projects, handle scheduling for swaps, and assist with vehicle rentals.
  • Office Organization & Maintenance: Maintain a tidy, efficient office space, manage filing systems, and coordinate office services like cleaning and repairs.
  • General Office Duties: Oversee office supplies, mail, shipping, and printer maintenance; plan events (e.g., annual BBQ), manage office communications (birthday and holiday cards), and support where needed.
  • Requirements

  • Strong organizational and multitasking skills
  • Excellent communication skills, both written and verbal
  • Proficiency in office technology and device setup (e.g., iPads, iPhones)
  • Attention to detail and proactive problem-solving
  • Ability to manage time effectively and work independently
  • Experience in office management or receptionist roles preferred
  • Bilingual (English and Spanish) candidates preferred
